Rules 12 Hours of Cycling

ART. 1: The contest

The Essec 12 Hours Cycling Challenge is a recreational relay trial that allows several teams of up to 4 riders (6 in the Women Only) to compete against each other in a 12-hour race.

ART. 2: Tenders

The registration will be final after receipt of:
- A fully completed registration via the website
AND
- The payment of the full registration fee.

ART. 3: Cancellation of participation or withdrawal

You can cancel up to 10 days before the respective contest. You have 2 choices here:

- If you wish, we can move your participation to another race, organized within that same year (so this can also be a Zolder Cycling Cup). This is free of charge, but any excess fee paid will not be refunded. You can request this via email.

- You request the refund via email, subject to a 25 EUR administration fee (this will be deducted from the refund).

After that period of 10 days before the contest in question, no refund or transfer to a later contest will be made.

ART. 4: The team

Teams are divided into the following categories:

Solos, Duos, Quattros, and Women Only.

In all categories, a further division may be made based on the average age of the cyclists (only if there are more than 5 entries per class).

The average age distribution is set at -40/+40.

ART. 5 : Minimum age

The minimum age of participants is fixed at 18 years. If you would like an exception to this, please contact the organisation at info@esseccyclingseries.be.

ART. 6 : Own equipment, paddock, tents

Each participating rider will have sufficient space available in the paddock. On this space, teams may install a tent, mobile home or the like to house their equipment and sleep. Alcohol as well as stimulants and doping are strictly forbidden in the paddock. There are connection points for electricity and water. Equipment for connection to be provided by the teams themselves. Please note that for electricity the blue camping plugs must be used. Music is prohibited as our events take place during the "quiet weekends" at Circuit Zolder.

ART. 7: Guarantee

For the transponder, a 50 EUR deposit must be deposited at the secretariat after the briefing. Please provide 1 50 EUR bill for this purpose. The deposit will be returned at the end of the race, after the transponder box has been returned.

ART. 8: Bicycle and equipment

In principle, only racing bikes are allowed. Mountain bikes with slick tires and sports bikes with straight handlebars are also accepted. Time trial bikes, electric bikes and recumbent bikes are prohibited. It is also forbidden to ride with attachments on the (course) handlebars. The organizers have the right to check the bikes at any time during the race. If a rider notices a danger on a bicycle, he will inform the team, which must immediately eliminate the risk, under penalty of exclusion. Each rider will be given a number at the start of the event. This number must remain fully visible throughout the trial. The wearing of a helmet is mandatory. Riders will not be allowed to enter the track without a helmet. As soon as darkness has fallen, front lights are mandatory. It must be lit when entering the pit lane.

ART. 9: A back number and an armband.

These must always be worn visibly during the race.

The registration of the laps during the event is done via an electronic system. Each rider receives a water container with a transponder in it that he must carry with him at all times during the race. Everyone is obliged to mount a second drinking can holder on the bike in which the drinking can is placed. Drinking cans may not be placed in the jersey at the back because the signal is not strong enough then. An electronic eye has been placed at the start and finish line of the circuit so that when the rider passes (with chip), the data per team is registered in a central computer. The results will be available live on various screens and via intra- and internet (http://www.raceresults.nu). If there is no more registration, the organisation should be informed immediately. The time measurement and all associated equipment will be outsourced by the organisation to a professional company that will ensure proper functioning. The organisation cannot be held responsible for any defects. Livetiming and results available via www.raceresults.nu

ART. 10: Redemption

Attention! We are going for a changeover à là Formula 1 but without a tire change. We will use the entire pitlane as a changing zone.
- The PITLANE ENTRY will be clearly marked.
- From this line you will not drive faster than 25km/h and this during the entire length of the pitlane.
- Cyclists are free to change lanes wherever they wish. The entire pit lane = exchange zone.
- However, changes must be made behind the red line marking the fast lane.
- The change is still done by passing on the bus containing the transponder - the transponder may only be passed on when the rider coming in is on the ground = not already riding.

Attention! There must be 6 compulsory substitutions for the DUOs, the QUATTROs and the WOMEN ONLY.

Teams not complying with this will be disqualified and eliminated from the results;

- From the line PITLANE EXIT, which will also be clearly marked, faster than 25km/h is allowed again.

Attention ! The speed will be measured over the entire length of the pitlane using the transponder with an accuracy of 0.001 sec. Any violation will be penalized immediately and without discussion with a 30 second penalty. Time penalties will be indicated on the live timing, available at www.raceresults.nu.

ART. 11: Starting procédure

We all start at the same time behind the safety-car.

ART. 12: Breakdown

A rider who gets into difficulties on the track will try to do the repair himself on the track or will go to the transition area as soon as possible. No assistance will be provided along the track.

ART. 13: The Circuit

The rider undertakes to respect the route laid out. Failure to do so may result in the rider being ejected from the race without possible recourse. Race officials will be present on the course.

2 supply zones will be provided. 1/ in the first left turn of the circuit. 2/ on the right side of Sacrament Hill. Both zones will be monitored for unjustified substitutions and provisioning. Provisioning will only be allowed in these 2 areas.

ART. 14: Obnoxious or dangerous (driving) behavior.

The participants undertake not to consume alcohol or any other stimulants. Rest is essential during the trial, please allow the other teams to have it. Any excesses will result in a sanction. If you feel aggrieved or notice irregularities by other riders, you can report this to the race commissioners located at the secretariat. They will carry out an investigation in all discretion. Phoning while cycling is also forbidden!

ART. 15: Theft and/or damage.

The organisers decline all responsibility concerning accidents, theft, loss, damage or deterioration of the participants' equipment. Each team will respect the safety regulations and watch over the contents of its zone.

ART. 16: Penalties

Only the main person in charge as chairman of the event is authorised to impose sanctions on a team.

ART. 17: Beverages and food

Drinks and food in the paddock are only sold by Circuit Zolder during the event. On other places of the circuit these will be sold by a third party appointed by Circuit Zolder. Other sales are not allowed.

ART. 18: Prices

There are no cash prizes. There will be cups for the first three in each category (see also article 4).

ART. 19: Red Cross

The Red Cross is available for the duration of the event. Any doctor's costs and/or ambulance transport will be at your expense. The aid post will be located near the secretariat.

ART. 20: Vehicles

Participants are advised to arrive on time and park their cars in the designated parking lots in the paddock. The parking lots behind the pit boxes are reserved for teams renting a pit box.

ART. 21: Insurance

No personal accident insurance is provided in the entry fee, so family insurance coverage as well as personal accident insurance is strongly recommended. The organisation cannot be held responsible for possible accidents and/or thefts.

ART. 22: Procedure in case of accident

If you are the victim or witness of a fall where help is needed, it is best to warn someone from the organisation as soon as possible who will be in constant contact with the secretariat. It is important that the right place is given so that the emergency services can help the participant easily and quickly.

ART. 23: Publicity

Advertising on bicycles and clothing is allowed. For all other forms of advertising, prior permission must be obtained from the organisers.

ART. 24: "I bike clean."

3 things we as an organisation would like to strongly emphasise:
1/ Courteous behaviour during the race. Our contest has to be "FUN" in the first place. Cursing, pushing and pulling are not allowed. Slower participants will also be dealt with in a responsible manner.
2/ Cycling without doping. We consider doping-free cycling to be the most normal thing in the world
3/ Putting all waste back in the back pocket. All pieces of paper from energy bars and the like must be put back in the back pocket and then in the rubbish bin. No appeal is possible against a decision of the race commissioners.

ART. 25: Penalties

Non-compliance with any rule of these regulations will be sanctioned by the organisers, either by disqualification of the rider or by penalty rounds. The aim is to treat all participants equally and to make this a successful event.

ART. 26: Perusal of the regulations.

By registering, each participant declares to have taken note of the rules and regulations and to scrupulously respect the articles. The rules may be modified by the organisation in the course of the year.
